1. Acceptance of Terms

By accessing or using ApplyArc, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, please do not use our service. We may update these terms from time to time; continued use after changes constitutes acceptance.

2. Description of Service

ApplyArc is a job application tracking platform that helps you organize your job search, save job listings, set reminders, and use AI-powered tools to enhance your applications. The service includes a web application and optional browser extension.

3. User Accounts

  • You must provide accurate account information
  • You are responsible for maintaining account security
  • One account per person
  • You must be 16+ years old to use this service
  • You may not share your account credentials with others

4. Subscriptions, Payments & Cancellation

Auto-renewal

Pro is £19/month and renews automatically. Your card is charged each month unless and until you cancel. Cancelling takes one click from Settings or the Stripe billing portal, anytime.

Free plan. ApplyArc offers a free plan with full access to the user interface and 5 AI generations per month. The free plan is provided for evaluation, it lets you assess whether ApplyArc suits your needs before paying. Pricing and auto-renewal. Pro is billed at £19/month via Stripe. Your subscription renews automatically on the same date each billing period, and you authorise ApplyArc to charge your payment method automatically each period until you cancel. Cancelling before your next renewal date is your responsibility if you do not want to be charged again. Price changes. We will give you at least 30 days notice by email before any change to your subscription price, and a price change only takes effect at your next renewal. If you do not want to continue at the new price you can cancel before it takes effect, and if we have already charged you at the new rate for a period you have not used, we will refund that prepaid, unused portion. Cancellation. You may cancel your Pro subscription at any time from your account Settings or via the Stripe billing portal, in one click, with no need to contact us. Cancellation takes effect at the end of your current billing period, after which your account is downgraded to the free plan. We do not refund or credit partial subscription periods, and cancellation does not relieve you of any obligation to pay any outstanding fees. Refunds. Pro subscription fees are non-refundable. Changing your mind, no longer needing the service (for example because you have found a job), forgetting to cancel before a renewal, or simply not using Pro are not grounds for a refund. Any refund we choose to provide is at our sole discretion and is not an admission that one was due. Withdrawal right (UK / EU customers). When you purchase Pro, you expressly consent to us providing you with immediate access to the Pro features and acknowledge that you lose your statutory right of withdrawal under the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 (and equivalent EU Consumer Rights Directive provisions) when your Pro access begins. Disputes and chargebacks. If you believe a charge is incorrect, please contact us at support@applyarc.com first so we can put it right, this is almost always faster than a bank dispute. Filing a chargeback in bad faith, for example for a charge where you have already used the service to fulfil its purpose (including but not limited to generating AI content, downloading a generated PDF, or accessing Pro features after the charge date), constitutes a breach of these Terms. In response to any payment dispute we may submit timestamped product usage logs, server activity logs, session recordings (Microsoft Clarity), and the contents of any prior support communications to Stripe, the card network, and the issuing bank as evidence. We reserve the right to suspend or terminate accounts associated with bad-faith chargebacks and to recover the actual, reasonable, documented costs and fees arising from the dispute, to the extent permitted by law. Statutory rights. Nothing in this section limits any non-waivable consumer rights you may have under applicable law, including any right to a remedy if a Pro feature does not conform to its description.

5. Acceptable Use

You agree NOT to:

  • Use the service for any illegal purpose
  • Attempt to gain unauthorized access to other accounts
  • Abuse, harass, or harm others
  • Upload malicious content or malware
  • Scrape or data-mine the service
  • Resell, share, or redistribute the service or your account
  • Circumvent usage limits or access controls
  • Create multiple or duplicate accounts to obtain additional free usage
  • Use bots, scripts, or automation to access the service or exceed usage limits
  • Register a new account to evade a suspension, termination, or ban

6. AI-Generated Content

Our AI tools generate suggested content (cover letters, emails, interview prep). You are responsible for reviewing and editing this content before use. AI outputs are suggestions only and not guaranteed to be accurate, appropriate, or free from errors. We are not liable for any consequences of using AI-generated content. ApplyArc in ChatGPT. The ChatGPT app has four anonymous, read-only tools for a pasted job posting or resume: job analysis, resume comparison, cover letter drafting and interview preparation. No account is required. The app does not save jobs, change an ApplyArc account, contact an employer, search the web or post anything on your behalf. Do not submit passwords, access keys, payment card details, government IDs or health records. The app refuses detected credentials, payment cards and government IDs. You must review every result and decide whether to use it. There are no purchases, subscriptions, freemium offers, upgrades or advertisements inside the ChatGPT app. Any ApplyArc website service is separate and is not required to use these four tools.

7. Intellectual Property

You retain ownership of content you create (job notes, resumes, etc.). By using our service, you grant us a license to store and process your data solely to provide the service. The ApplyArc software, branding, and design are our intellectual property.

8. Data Privacy & Security

Your data is protected according to our Privacy Policy. We use encryption, secure authentication, and industry-standard security measures. For EU users, we comply with GDPR. For California users, we comply with CCPA. See our Privacy Policy for full details on data handling.

9. Your Data, Backups & Account

You are responsible for keeping your own copies of anything you add to ApplyArc that matters to you. ApplyArc is a job-tracking tool, not a backup, archiving, or data-storage service, and you should not rely on it as the only place your information lives. You can export your data at any time from Settings. Your account is identified by your Microsoft sign-in (Entra External ID), not by your email address on its own. If that sign-in identity is deleted or changed, or if you register again, you may be treated as a new user, and data linked to a previous account may be inaccessible to the new one. Signing up again with the same email address does not merge or restore a previous account. We may suspend or delete accounts, and the data associated with them, that have been inactive for an extended period, that we remove for security, abuse, or legal reasons, or that have been removed from our authentication provider. Once data has been deleted it may be permanently unrecoverable. To the maximum extent permitted by law, we are not liable for any loss, deletion, corruption, or inability to recover your data, however caused. This sits alongside the Limitation of Liability section below. Nothing in this section removes any non-waivable statutory rights you may have.

10. Service Availability & Changes

We strive for high availability but do not guarantee uninterrupted service. We may modify, suspend, or discontinue features with reasonable notice. Scheduled maintenance is typically performed outside peak hours. We are not liable for temporary unavailability. Discontinued paid features. If we permanently discontinue a Pro feature you are actively paying for and do not replace it with a materially similar one, we will refund the unused portion of your current subscription term on a pro-rata basis. You should not have to keep paying for something we have taken away.

11. Disclaimers

ApplyArc is provided "as is" without warranties of any kind, express or implied. We do not guarantee job placement, interview success, or any specific outcome. The service may experience downtime for maintenance. We disclaim all warranties of merchantability and fitness for a particular purpose.

12. Limitation of Liability

To the maximum extent permitted by law, ApplyArc and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or opportunities. Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.

13. Termination & Suspension

We may suspend, restrict, terminate, or refuse to provide the service to any account, at our discretion, where we reasonably believe it has breached these Terms, engaged in fraud, abuse, or bad-faith chargebacks, attempted to circumvent usage limits or payment, or where continued provision exposes us to legal or financial risk. Where an account shows abuse or circumvention, any fees already paid are non-refundable to the fullest extent permitted by law and we may decline discretionary goodwill refunds. Terminated users may not register a new account to regain access, and we may block re-registration by email, device, or network identifier. You may delete your account at any time via Settings → Delete Account. Upon termination, your data will be deleted within 30 days, except where retention is required by law or is reasonably necessary to resolve disputes, prevent abuse, or enforce these Terms. Nothing in this section removes any non-waivable statutory rights you may have.

14. Governing Law

These terms are governed by the laws of the United Kingdom. Any disputes shall be resolved in the courts of England and Wales. If you are a consumer in the EU, you retain any mandatory consumer protection rights under your local law.

15. General Provisions

  • Entire Agreement: These terms, along with our Privacy Policy, constitute the entire agreement between you and ApplyArc
  • Severability: If any provision is found unenforceable, the remaining provisions remain in effect
  • Force Majeure: We are not liable for delays or failures due to circumstances beyond our reasonable control
  • No Waiver: Our failure to enforce any right does not waive that right
  • Assignment: We may assign these terms; you may not without our consent
